Administrative Associate

 Summary

The Charlemagne Institute is seeking an experienced administrative assistant who is eager to support the work of promoting the values and traditions of Western Civilization. The Administrative Associate will work closely with the Director of Operations to support the administrative needs of all departments. The individual will be responsible for the everyday financial duties of the organization as well as showing hospitality to our board members and guests.


Responsibilities

  • Administer basic financial duties: entry of bills, preparation of checks, deposits, account monitoring, and monthly reconciliation
  • Provide basic IT assistance: troubleshoot minor IT issues (e.g. nonfunctional printers, docking station issues), enter and track help desk tickets, and inventory IT equipment
  • Answer phones, receive guests, and respond to emails in general email account
  • Practice hospitality in event planning for board meetings, seminars, and other office gatherings
  • Coordinate travel arrangements for staff and event speakers
  • Proofread and format organizational documents, as needed
  • Other duties as assigned by management


Qualifications

  • 3 years minimum professional experience in business, administration, or a related field
  • 1 year of finance or accounting experience, strongly preferred
  • Proficiency with using Microsoft Office applications (Word, Outlook, Excel) and Adobe Acrobat
  • Superior attention to detail
  • Ability to multi-task and proactively serve the needs of multiple departments
  • Ability to communicate effectively and winsomely, in both oral and written forms
